Early Access Platform Notice

MokuField is currently in early access. Features, data collection practices, and this Privacy Policy may change as we develop the platform. We will notify users of material changes.

At MokuHub LLC, we take your privacy seriously. This Privacy Policy describes our policies and procedures on the collection, use, and disclosure of your information when you use MokuField, our field service management platform, and tells you about your privacy rights and how the law protects you.

We use your Personal Data to provide and improve the Service. By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.

Definitions

Account - A unique account created for You or Your organization to access our Service.

Authorized Users - Individuals authorized to use the Service under Your Account, including Account Owners, Administrators, Dispatchers, and Field Workers.

Company - MokuHub LLC, 0105, Georgia, Tbilisi, Chugureti district, Mikheil Tsinamdzgvrishvili street, N 52, attic.

Customer Data - All data that You or Your Authorized Users submit to the Service, including work orders, customer records, and operational data.

Service - The MokuField platform, including the website, web application, mobile applications, and all associated APIs and services.

Tenant - An isolated workspace within our multi-tenant architecture where Your organization's data is securely separated from other customers.

Information We Collect

Personal Data

While using our Service, we may ask you to provide us with certain personally identifiable information:

  • Email address
  • First name and last name
  • Phone number
  • Company/organization information
  • Job title and role
  • Country of residence
  • Usage Data

Usage Data and Analytics

Usage Data is collected automatically when using the Service. This may include:

  • Your Device's Internet Protocol address (IP address)
  • Browser type and version
  • Pages visited and time spent
  • Device identifiers and diagnostic data
  • Features used and actions taken within the application

We use Google Analytics and similar services on our website and may use them in our mobile applications to understand usage patterns and improve the Service.

Location Data

For Field Workers using our mobile application, we collect:

  • Real-time GPS location: Collected during active work orders for dispatch optimization, route planning, and work verification
  • Location history: Stored to provide route history, mileage reporting, and operational analytics
  • Geofencing data: Used to detect arrival and departure from customer sites

You can disable location services in your device settings, but this may significantly limit the functionality of the mobile application.

Work Documentation Data

Through our mobile application, we collect:

  • Photos captured for work order documentation
  • Digital signatures from customers
  • Timestamps for all captured documentation
  • Notes and comments regarding work orders

Offline Data

Our mobile application stores data locally on your device to enable offline functionality. This data is encrypted on your device and synchronized with our servers when connectivity is restored.

How We Use Your Personal Data

The Company may use Personal Data for the following purposes:

  • To provide and maintain our Service, including monitoring usage and managing work orders
  • To manage your Account and organization's access to the Service
  • For dispatch and scheduling optimization
  • For work order management and tracking
  • To contact you via email, telephone, SMS, or push notifications
  • To provide news and special offers (you may opt-out at any time)
  • For analytics and service improvement

Multi-Tenant Data Protection

Technical Measures

  • Row-Level Security: Database-level enforcement (PostgreSQL RLS)
  • Tenant Identification: Every data request is automatically scoped to your organization
  • Subdomain Isolation: Each organization accesses via their dedicated subdomain
  • Access Controls: Role-based permissions within your organization

Your organization's data is never visible to other MokuField customers. We implement technical controls to prevent any cross-tenant data access.

Email Marketing

With your explicit consent, we may send you marketing emails about our products and services. We use Brevo as our email marketing platform.

Your Email Rights:

  • You can opt-in to receive marketing emails during signup
  • You can unsubscribe at any time by clicking the unsubscribe link
  • You can update your email preferences by contacting us

Data Retention

Operational Data

  • Work orders: Retained for subscription duration plus 30 days after termination
  • Location history: Retained for 90 days for active analysis, then archived for up to 2 years
  • Photos and signatures: Retained for subscription duration
  • Audit logs: Retained for 2 years for compliance

After Account Termination

  • 30 days to export your data after termination
  • All Customer Data permanently deleted after 30 days
  • Backup copies purged within 90 days of deletion

Data Protection & Security

The security of your Personal Data is important to us. We implement appropriate technical and organizational measures:

  • Encryption of data in transit (TLS/SSL)
  • Encryption of data at rest
  • Regular security assessments and audits
  • Access controls and authentication
  • Employee security training

Important: No method of transmission over the Internet is 100% secure. While we implement industry-standard security measures, we cannot guarantee absolute security. You acknowledge and accept this inherent risk when using the Service.

Your Rights Under GDPR

If you are a resident of the European Economic Area (EEA), you have certain data protection rights:

Children's Privacy

Our Service does not address anyone under the age of 18. We do not knowingly collect personally identifiable information from anyone under 18. If you are a parent or guardian and you are aware that your child has provided us with Personal Data, please contact us.

International Data Transfers

Your information may be transferred to and maintained on computers located outside of your jurisdiction where data protection laws may differ. This means your information may be transferred to Georgia and processed there, as well as in other locations through our cloud infrastructure providers.
